The inbox in the file manager
Not every document knows straight away where it belongs. The photo from the apiary, the dealer’s invoice, the lab report – that is what the inbox in the file manager is for. Everything may stay there until you assign it.
Where to find it
The file manager sits in the main menu. It has three tabs: Inbox, Apiaries & colonies and Search. The inbox shows everything that is not yet assigned to a colony or an apiary; the number on the tab tells you how much is waiting there.
Putting documents in
There are three ways:
- Upload. Tap Upload document – on the phone via the button at the bottom right – and pick one or more files.
- Drag in. On the computer you simply drag files into the window. The drop area appears by itself as soon as you drag something over the page.
- By mail. Attachments can be sent to
forward@bee-pilot.io. How that works exactly is described in Sending documents to bee-pilot.io by mail.
Which files are accepted
Photos (JPEG, PNG, WebP, GIF), PDF, Word, Excel, PowerPoint, text and CSV files as well as short videos (MP4, MOV, WebM). A file may be up to 20 MB, a video up to 10 MB. Audio recordings are not accepted.
Every file is checked for malware before it is stored. Anything that stands out is rejected and never reaches the inbox.
What happens next
In the background, bee-pilot.io reads every document and thereby makes it findable by its content. At the bottom of each card you see the state: Content is being searched or Content searched. The arrow symbol next to it starts the analysis again.
If bee-pilot.io finds a matching apiary or colony while doing so, a green tick appears on the card. That is the assignment suggestion – more on it in Assigning and finding documents.
